Payments Policy

Clear and transparent payment terms for all our logistics services.

1. Accepted Payment Methods

AHA Prime Ltd accepts the following methods of payment for services rendered:

Bank Transfer

PREFERRED

Direct bank transfer is our preferred payment method. No additional fees apply to bank transfers.

Bank details will be provided upon booking confirmation or on invoice.

Card Payment

We accept major debit and credit cards including Visa, Mastercard, and American Express.

A processing fee of 1.9% + £0.20 applies to all card transactions.

2. Card Processing Charges

Card payments incur a processing charge to cover payment provider fees. The charge structure is as follows:

1.9% + £0.20 per transaction

Example: For a £200 service, the card fee would be £4.00 (1.9% of £200) + £0.20 = £4.20 total card processing fee.

This fee will be added to the final invoice amount when card payment is selected. Bank transfer payments do not incur this fee and are therefore recommended for larger transactions.

3. When Payment Becomes Due

Standard Services

Payment is due upon completion of the service unless otherwise agreed in writing prior to the job. For courier and delivery services, payment is expected at the point of delivery or immediately following service completion.

Business Accounts

Approved business accounts may be granted payment terms of up to 14 days from invoice date. Extended payment terms are subject to credit approval and a satisfactory payment history. Terms may be withdrawn at any time at our discretion.

4. Deposit Requirements

When Deposits Are Required

Deposits may be required for certain types of work, including but not limited to:

  • Large or high-value moves and deliveries
  • Multi-day jobs or projects
  • Jobs requiring significant advance preparation or vehicle reservation
  • New customers without an established payment history
  • Weekend, bank holiday, or out-of-hours bookings
Deposit Terms: Deposits are non-refundable if cancellation occurs within 24 hours of the scheduled job. The deposit amount and terms will be confirmed in writing before booking is finalised. The balance is due upon completion of the service.

5. Late or Withheld Payment

Non-Payment Consequences

AHA Prime Ltd reserves the right to take the following actions in the event of late or non-payment:

  • Suspend or withhold services until payment is received
  • Apply late payment interest at 8% above the Bank of England base rate (per the Late Payment of Commercial Debts Act 1998)
  • Add reasonable debt recovery costs to the outstanding balance
  • Pursue recovery through legal channels, including small claims court
  • Report non-payment to credit reference agencies where applicable

Payment disputes do not suspend the obligation to pay undisputed amounts.

6. Booking Confirmation

A booking is not confirmed until:

  • Written confirmation of the booking has been provided by AHA Prime Ltd
  • Any required deposit has been received and cleared (where applicable)
  • Full job details have been agreed in writing

Verbal or provisional bookings are not binding until confirmed in writing. We reserve the right to decline or cancel unconfirmed bookings.

7. Disputes and Refunds

Dispute Handling

Any disputes regarding charges or services must be raised in writing within 7 days of service completion. Disputes will be reviewed fairly, but we are not obligated to provide refunds or adjustments where services were delivered as agreed. Withholding payment during a dispute does not suspend payment obligations for undisputed amounts.

Refund Position

Refunds are provided at our sole discretion and only in circumstances where AHA Prime Ltd has materially failed to deliver the agreed service. No refunds will be issued for delays or issues caused by factors outside our control, including but not limited to traffic, weather, access restrictions, incorrect customer information, or third-party actions.

8. Additional Charges

Additional charges may apply in the following circumstances:

  • Waiting time exceeding the agreed allowance
  • Additional stops not included in the original quote
  • Parking fees, congestion charges, or tolls incurred during the job
  • Failed delivery or collection due to customer unavailability
  • Jobs that differ significantly from the original description provided
  • Out-of-hours services (evenings, weekends, bank holidays)

This Payments Policy was last updated on 1 April 2026. AHA Prime Ltd reserves the right to amend this policy at any time. Changes will be effective upon publication on our website.
